Polygon In-meeting Funding

 

Any organization that is a member of Polygon may formally submit an in-meeting proposal for funding from the council for $500 or less. Proposals for over $500 should be submitted to the College of Engineering Funding Committee. The amount of funding available will depend heavily on the semester's revenue.

  1. To be eligible to make an in-meeting funding proposal…
  2. The organization must be a member of Polygon.
  3. The organization must have attended 2 prior meetings of the semester of the request. If a proposal is submitted within the first 2 meetings of the semester, the previous semester's attendance record should determine eligibility.
  4. The proposal must be given no later than at the general meeting prior to the event.
  5. For an event that occurs prior to the first general meeting of the school year, it can be proposed at the first general meeting.

An organization must do the following to request in-meeting funding:

  1. Inform the President that you wish to submit a proposal at the next meeting no less than one week prior to a Polygon General meeting . Proposals received before this deadline will be treated as new business at the next General meeting.
  2. Attend the scheduled meeting with both a verbal presentation and a written presentation corresponding to the following format: Organization name: Date of the event: How much the organization is asking for: A brief description of the event: Other resources solicited for funding for this event: A breakdown of the expenses for this event: Other relevant information:
  3. Each organization will be given 5 minutes for the verbal proposal and 5 minutes to facilitate discussion and entertain questions from the general council. The organization may not exceed this time limit unless a quorum vote is passed.
  4. Each organization represented by Polygon will be given one vote for each proposal.

Voting on the proposal:

  1. Voting will be done by the members of the council immediately following the proposal if quorum is present, otherwise the proposal will not be voted on until quorum is present. In the event that there is more than one proposal on the agenda, voting will take place after all the proposals have been made.
  2. Each organization may only turn in one vote regardless of how many representatives are attending the meeting. If a single person represents more than one organization, that person may only count for one vote.
  3. The votes will be counted immediately in a manner chosen by organization representatives and the Sr. Co-President. Votes maybe counted by written ballot, a heads down vote, or a heads up vote. The votes will be tallied or counted by both the Sr. Co-President and the Jr. Co-President. If needed, the Secretary or Treasurer may take the place of either President in counting the votes.
